Your privacy is important to us. SportsPix respects the privacy of our customers and is dedicated to ensuring their personal details and images are kept private and secure. Our Privacy Policy adheres to the Australian Privacy Principles (APP).

This privacy policy explains how we collect and use personal information solely to provide sports photographs and image-based products to associations, clubs, events and other businesses that engage our services.

In this privacy policy, the term “Personal Information” means any information from which your identity is apparent or can be reasonably ascertained.

Open and transparent management of personal information

SportsPix and our associated partners will only use any personal or business information you have supplied so we can fulfil our regulatory obligations, maintain our business processes related to providing you with photography products and perform financial transactions. Your personal information will not be divulged to any third party except where required to provide services to you, including fulfilling your order or as required by law.

We use this information in ways that it is necessary for us to conduct business with you, and this includes:

1. Fulfilling orders for photos and other products;

2. Customer service enquiries;

3. Customer surveys;

4. Product updates and offers from time to time;

5. Information about photography day;

6. Updates on the delivery status of orders.

Collection of solicited personal information

We only collect the personal information necessary to identify you to ensure we provide you with photos, packages or products containing your correct name and personal information.  

The information collected includes but may not be limited to:

1. The name of the association, club or event you participate in;

2. Your first and last name; 

3. Team or event name;

4. Your delivery address if your order is to be posted directly to you.

Notification of the collection of personal information

Associations, clubs or events that appoint SportsPix as their official photographer provide relevant personal information for each participant to enable us to provide a photography service.  

We rely on the association, club or event to only provide personal information on participants who have given permission for their details to be shared for the purposes of photography.

Use or disclosure of personal information

SportsPix will not disclose any information or images to a third party other than our service providers, who assist us in providing the information and/or services we are providing to you. To the extent that we share your personal information with a service provider, we would only do so if that party has agreed to comply with our privacy standards described in this privacy policy.

We may use or disclose personal information or images without consent where:

1. it is for a reasonably expected purpose related to the purposes for collecting the information or image in accordance with this policy;

2. we reasonably believe that it is necessary to assist an enforcement body in performing its functions;

3. we suspect that unlawful activity has been, is being, or may be engaged in, and the personal information or image is a necessary part of our investigation or reporting of the matter;

4. we reasonably believe it is necessary to prevent a threat to life, health or safety;

5. we are authorised or required by law to do so (e.g. where the information or image is needed by bodies regulating us or in response to subpoenas or warrants);

6. we have contracted an external organisation to provide support services, and that organisation has agreed to conform to our privacy standards.

Direct marketing

We may use your personal information from time to time for our direct marketing purposes. Any marketing will be directly related to purchasing your sports photos or other offers relating to photographic or printed products that we believe will interest you.

To request that we stop direct marketing to you, click the “unsubscribe” link in any email we send to you for direct marketing purposes. We will comply with such requests within a reasonable time.

Cross-border disclosure of personal information

Given that we are a Victorian-based photographer, we will not likely need to disclose personal information to overseas recipients. 

In addition to our in-house online ordering system, SportsPix may use an online ordering service that uses servers outside Australia to store personal information provided by you when you complete information fields when placing an order on their system. This information is only used to directly supply the Service to which you have requested. The Australian Privacy Principles bind them as they operate within Australia.  

Adoption, use or disclosure of government-related identifiers

We do not adopt Government-related identifiers of individuals such as tax file numbers, Medicare numbers, or similar.

Security of personal information

We take reasonable precautions to protect your personal information and follow industry best practices to ensure it is not inappropriately lost, misused, accessed, disclosed, altered or destroyed. All information and images are stored securely, and any electronic material is protected by enterprise-grade firewall security and virus protection and is encrypted in transit. All information and images are kept indefinitely unless we are requested to dispose of them in writing. Archived images are used when we receive requests for reprints of lost or damaged photographs.

Any printed material not required to fulfil orders will be securely shredded and disposed of. 

Our database contains information on customers and participants. Access to the database is only available to SportsPix staff and is controlled by industry-standard authentication controls. 

Each participant's personalised internet id number secures access to our online ordering system. The code only relates to photography at each job, so it changes for every job.

The codes are shared with the association, club or event to allow them to provide personalised codes directly to you if a code is lost or misplaced. We will never share your code with anyone else that may request it without your permission.

All details relating to credit or debit cards used when making payments are processed via a secure payment gateway and are not provided to or stored by SportsPix in any format.

Access to personal information

Unless a specific exception applies, we will give you access to your Personal Information when requested in writing. 

If access is granted, we will not charge for access to your personal information except if the personal information is photographic, in which event we will charge our usual fee.

Changes To This Privacy Policy

We reserve the right to modify this privacy policy at any time to ensure it remains up to date, so please review it frequently. Changes and clarifications will take effect immediately upon posting on our website.

We will acknowledge the receipt of your complaint within two business days and then investigate your complaint. We will keep you up to date and inform you of our outcomes within 14 days.
